How gyms run attendance in Gymnaut

Attendance starts with the member record. When a member joins, Gymnaut issues them a QR token that lives on their printable ID card and in the member app. That token is what the kiosk reads, so a check-in is always tied to a real membership at a real branch — you cannot accidentally log a visit for someone whose plan has lapsed.

The kiosk screen is deliberately dumb: scan, confirmation, next person. Because the re-check-in window ignores repeat scans, a member tapping twice or a scanner firing twice never doubles the count. Staff can still check someone in manually from the front-desk view when a card is forgotten, and that action is recorded as a manual entry in the audit log.

At the end of the day nothing needs tidying up. Open sessions are auto-closed after your configured duration, and the daily and weekly summaries are ready to read: footfall by hour, most and least active members, and branch comparisons for owners running more than one location. Anything on screen exports to CSV or PDF.

How does QR code check-in work in a gym?
Every member gets a unique QR code on a printable ID card or inside the member app. They scan it at the front-desk kiosk and Gymnaut records the check-in against their membership, branch and time instantly — no queue at the reception desk.
What stops a member scanning twice or sharing their card?
Gymnaut ignores repeat scans inside a configurable re-check-in window, so a double scan never creates a second visit. If a card is lost or shared, staff can regenerate that member's QR token, which invalidates the old card immediately.
What happens if a member forgets to check out?
A scheduled auto check-out closes sessions that stay open beyond your configured duration, so session lengths and floor-occupancy reports stay accurate without staff cleanup.
Can I see attendance per member and per branch?
Yes. Attendance is filterable by member, branch and date range, with daily and weekly summaries. Branch staff see only their own branch; the main gym admin sees every branch.
Can attendance be exported?
Attendance and its summaries export to CSV for spreadsheets and to PDF for signed or printed records.
